The veterinary operations manager will lead the everyday operations of the hospital focusing on the training, development, flow, client service, staffing and efficiency of the support staff. This is a “boots on the ground” position with a willingness to assist all employees in their unique roles. The ideal candidate would understand and be able to function in a variety of support staff roles. He or she would be able to lead a team and problem solve being creative with resources and opportunities. The ideal candidate would have a personality that motivates and inspires others to grow and stay engaged in their work. This person must also be humble enough to lead by example in a variety of settings.

Primary Job Responsibilities
Support Managers in the recruiting, interviewing, and hiring of new personnel.
Supervising personnel and acting as the direct authority regarding disciplinary procedures.
Promoting a cooperative work environment, mediating any personnel problems
Work closely with Hospital Administrator on issues that fall outside the scope of their own expertise.
Schedules and coordinates regular performance reviews and growth development plans for all managers.
Oversees the review process performed by managers.
Ensure employment policies are being adhered to as outlined in the employee handbook.
Is accessible by staff while maintaining a professional relationship with them.
Ensuring that all clients receive high-quality service during all interactions with the veterinary hospital staff.
Train, assess, and hold staff accountable to procedures that meet client needs and exceeds clients’ expectations.
Facilitating the resolution of client conflicts that doctors and managers have been unable to resolve.
Supervising the usage of our practice software (Impromed) to ensure the staff can appropriately schedule appointments and accurately maintain client and patient records.
Auditing charts to ensure they adhere to all medical/surgical protocols.
Be able to create and maintain a payroll budget.
Set financial payroll metrics for each department.
Review financial metrics with Hospital Administrator monthly.
Work with inventory manager to create efficient inventory systems and work closely to monitor turns and maintain COGS benchmarks.
Oversee the work of the account’s receivable manager.
Review the P&L monthly with Hospital Administrator, set monthly goals and have the skills to implement an action plan to achieve those goals.
Facilities / Equipment Management:
Oversee the operations of computer equipment in conjunction with our in house and outside IT support.
Coordinate and supervise any building and equipment repair and maintenance.
Maintains a facility visually appealing to clients and staff
Hold monthly manager meetings.
Hold monthly doctor meetings.
Hold bi-monthly practice wide meetings to promote vision, mission, culture.
Meet monthly with individual department managers.
Build and support practice culture through individual, group and practice wide initiatives.
Attend Department meetings to support managers and staff in improving practice outcomes.
Attend/Run morning huddles.
Promotes cooperative working environment among staff members; understand the value of teamwork; show enthusiasm and willingness to perform as necessary to help the practice function as a collaborative team ensuring the highest outcomes for patient care and client service.
